Turn Online Inquiries Into Clients: A Lead Follow-Up Playbook

Real Estate Buddy · June 28, 2024

Online leads are not bad. Follow-up is. Studies of inquiry response times consistently show that the agent who responds first wins the majority of the business, and that most leads never get a second call. If you fix nothing else this year, fix your follow-up.

Speed is the whole game

The difference between responding in five minutes and thirty minutes is enormous. A buyer who just filled out a form is sitting at their computer thinking about houses right now. In an hour they are back at work and gone. Aim to respond within five minutes during the day, even if only to say you are on it and will call shortly.

Use a cadence, not a single call

One call is not follow-up. A cadence is. A reliable pattern for a new lead looks like this:

  1. Minute 5: call. If no answer, leave a short voicemail and send a text.
  2. Day 1: a second call at a different time of day.
  3. Day 2: a helpful message with listings that match what they asked about.
  4. Day 4: a check in.
  5. Day 7 and beyond: move to a weekly or monthly rhythm until they respond or ask to stop.

Lead with help, not pressure

People can feel a hard sell through the phone. Instead of pushing for an appointment on the first touch, ask questions. What area are they looking in? What is driving the move? When do they need to be settled? The agent who listens becomes the agent they call.

Never rely on memory

The reason follow-up fails is not laziness. It is volume. With twenty active leads at different stages, no one can remember who is due for a call today. That is a system problem, and it needs a system solution: every lead tied to a next action and a date, surfaced automatically.

The fortune is in the follow-up. The agent who shows up on day seven, when everyone else quit on day one, wins.

Real Estate Buddy captures every inquiry from your listings as a lead and tracks it through a pipeline from first contact to closed, so no one is ever forgotten.
